[00:00:00] Danielle: Hello everyone. Welcome back to the podcast. I'm super excited. Today, I'm gonna be talking about ways to boost your profit and productivity with ai.
[00:00:11] So specifically I'm gonna be talking about four AI tools that will help you work smarter, not harder. And these are the tools that we are currently using and out in our own business that are saving us time money.
[00:00:27] So if you have not yet listened to last week's episode, that's more of an introductory podcast episode about artificial intelligence, just my on artificial intelligence AI when comes to our businesses. So I highly recommend you listen to that one as well. It's episode 157, and we about the benefits and then also the limitations of AI and just what to think about when you start to implement it into your business, because, I know for myself, it's [00:01:00] one of those things where when something new comes to the market, sometimes it's really overwhelming when you start to think about, oh my gosh, how do I implement this into my business?
[00:01:09] Is this worth me learning all these new tools, I feel overwhelmed. Like all of come up for us. And so, my goal is to to research these tools to out, okay, how can we use it in our business in a way that's not a distraction, something that actually gives us our time back.
[00:01:28] Because, as entrepreneurs, one of the most valuable things that we have is our time. And so I know that AI can be extremely overwhelming and potentially confusing, and so it's hard to know tools should I be using? Which ones are worth my time ?
[00:01:47] I actually to make a completely free resource. It's already on our website, so if you would like get access to it. I actually put together a list, and right now we have 50 [00:02:00] plus AI tools, I think we're almost at about 70 AI tools on there that are specific for business owners. So if you wanna download that so that you can see, I made it into a spreadsheet. It's a working document, so this means that I'm gonna be continually researching and adding websites and apps that I think are helpful, and then also adding information and my personal thoughts on each app.
[00:02:25] I've done the pre-work for you to screen them to make sure that they are actually tools that are for small businesses. I have not tested all of these tools yet. It's just ones that I have done my research on, the ones that look like would be supportive and helpful for small businesses.
[00:02:44] And then I also share whether or not they a free trial, what the cost of each them are, also give a brief description of each one so that you don't have to, deep dive like I did with the different blogs, websites, [00:03:00] YouTube channels that are all talking about the different tools of ai. [00:03:11] And again, I will continue to update that with more information as I learn more. So let's dive into the top four AI tools that we are currently using in our business to help us be a more productive and more profitable.
[00:03:27] So tool number one of course is chat, G P T. If you have not heard of chat G P T yet, it is an incredibly powerful tool. And the really cool thing about this is that it is completely free. They do have upgraded version. I have not upgraded yet cuz I haven't found it to be necessary.
[00:03:49] What I find chat G P T super supportive with is one brainstorming and content creation. when it comes to brainstorming topics [00:04:00] or titles or ideas for the business, I have found chat g p t be so helpful for this.
[00:04:06] I don't know about you, but I often get writer's block when I'm trying to come up with ideas or when I'm trying to come up with, let's say, an outline for something and if I'm a bit tired or not feeling super inspired or creative, I like to use chat g p t to help me with this.
[00:04:27] So you can say something like come up with 10 suggestions email subject lines based on this email. You can copy and paste the email and then have it come up with 10 different versions of an email subject line. And then basically what can do is you can choose one of those 10, or what I usually end up doing is I up using like a combination of two of the ones, two or three of the options that they give me.
[00:04:56] And so it's really cool. I find it so incredibly [00:05:00] helpful when I'm feeling like, ah, I don't know what to title this email. gives you ideas for that. And then the same thing with podcast titles. You can literally put in the podcast episode once it's transcribed. And you can say, come up with 10 different podcast titles for this particular topic. So that is one of ways that we use it, and I have found that so incredibly helpful and time saving for us.
[00:05:25] Another thing that it's super helpful for is outlines. So creating outlines for podcasts or blogs or emails that has been so great. So for example, I am wanting create a podcast episode, And I want it to be about a specific topic, sometimes I will go into chat, G T, I will say, okay, I want to talk about this particular topic.
[00:05:49] Make sure in it includes X, Y, Z, and then come up with an outline. I like to have chat g p t come up with outlines instead of actual scripts because I [00:06:00] find you can have it with scripts for you. But I find that it just sounds at this point, the AI technology is not necessarily at the point yet where it has a lot personality or it has a lot different examples that they give. so I like the outline version so that I can put in my flair to it. I can can bring my own personality into it and stories and examples and that kind of thing.
[00:06:25] So that is super helpful. So if you have a podcast, if YouTube channel, if you have a blog, if you write a lot of emails, coming up with an outline for those things can save you a ton time. Another thing, oh my goodness, Instagram captions.
[00:06:38] Who else hates coming with social media captions? I am raising my hand here. So the cool thing is that, if you are repurposing content, which I highly recommend you do. Say for example, you know you have a blog post and you wanna repurpose that into Instagram post or a reel, you can use chat g [00:07:00] p t to basically come up with Instagram caption ideas for you based on your blog.
[00:07:07] Post it in there, say come up with three different Instagram captions for this particular post, and it will come up with those you. And man, saving so much time, so much energy. And then you can basically tweak them and edit them from there.
[00:07:23] I also really love it can actually help you rephrase specific copy so you can copy and paste something that you've already written, which will give it a lot of context because if you've used chat G P T before, you know that the more specific and the more context that you give it in prompt, the better because it has more information to pull from to actually give you a better response.
[00:07:52] And so you can tell it to say, for example, rephrase a email that you've written to make sound more friendly or [00:08:00] more personalized or more engaging. You can maybe even put something in there and say, add a call to action to download the, a free resource, and That is a super powerful way you can also use chat g p t there as well.
[00:08:15] Another way is asking questions. So I love this. So you can basically use it as I feel like it's almost like an advanced Google search. It doesn't give you links or anything that, but you ask it, say for example, if you want it to come up with a job posting for a content creator or social media manager. If you're hiring, get it to come up with a job posting for that person.
[00:08:42] And then you can also get it to come up with their job description. You can give it some prompts, maybe tell chat G P T a little bit more about your business, so the type of business that you're in, what specific tasks you already know that they will need to do, and then [00:09:00] ask it to come up with a detailed job description for you for that.
[00:09:04] That is a super powerful way, I believe, that you can use chat g p t to save you so much time and money, because time is money, on things like that.
[00:09:15] Another one could like asking it to come up with a project outline something that you're working on. So for example, if you're hosting an event doing a design project, you're coming up with a pitch deck for investors. Whatever that is, you can ask it to come up with something for you.
[00:09:35] And the thing I just love and what I absolutely recommend is that you use the template that they'll give you, so they'll create something for you. You can ask it to revise it as well if like, but then take that, copy it onto, let's say a Google Doc some other platform, and then use that as the template that can start to work with and start to edit yourself.
[00:09:59] [00:10:00] So overall, there are just honestly endless ways that you can use chat g p t. I could probably do do an entire episode just on this one, but I wanna get to the other tools as well.
[00:10:11] Okay. Tool number two is Canva. So for those of you who have not used Canva before, Canva is an incredible tool. We use it the time in our business. We've been using it for years. It is a graphic design platform and we personally use it to create social media graphics, create presentations with our course content to create slides. We also use it for things like our sponsorship packages for our events, different things like that. And so we're just always using Canva. I feel like we use it almost daily in the business, and I've always loved Canva because it's super easy to use. Because I am not a graphic designer, I'm not even close, but I find it super intuitive and easy use.
[00:10:57] Canva has now implemented really [00:11:00] great AI tools that are now built into the platform. So I'm gonna share with what those are.
[00:11:05] Number one, they implemented magic right. It's similar to chat G P T, where you can actually go into their docs area of their platform, and you can ask it come up with say for example, like an article social media post, and put in the prompt and it will come up with ideas for you.
[00:11:26] So if you create a lot of social media content or blog content or Pinterest content, canva's gonna be your best friend. Another thing that they have is called text to image. Now I, to honest, I, all of the text to image platforms, so far, I've been a little creeped out about, and I haven't, I've tested some of them and I've never gotten an image that I've actually liked before. So if you have tried this, text to image AI tools and you have [00:12:00] enjoyed them, then let me know because still a bit skeptical on this.
[00:12:03] I feel like they still have a long ways to go as far as developing the AI on text to image, however, you can definitely do that. You can definitely test it out yourself, and basically what you do is you put in what you envisioning, and then it will create an image on your prompt.
[00:12:23] So let's say you say, beach sunset with an umbrella laptop or something, you can put that in there and then it will come up with an image based on what you've prompted it. So like I said, I have not really loved the images that have come out. I think they look pretty creepy to be honest, but, Test it out for yourself, see if you like it. I know some people, maybe I'm not doing the right prompts so, I encourage you to test it and see if you like it.
[00:12:53] There's another tool though, within that I think is amazing and it's Magic Eraser. [00:13:00] So if have an image already, whether it be a stock image or a photo or just an image in general and you wanna erase something, whether it be in the background or what you, you can actually just do that really easily right in the platform.
[00:13:16] So you just basically draw on top it and it just erases it. So it's kind of like Photoshop. And so I think that is so incredible and so amazing and is going to save you a lot of time. But then also, like if you, say for example, are using Canva and you're going back and forth from different platforms so that you can edit photos and then put them back into canva, you don't have that anymore cuz it's right inside the platform, which is super neat.
[00:13:44] The other thing that I think is really incredible, and I'm really excited to see where goes because I think, at this point, it's somewhat basic, but it is a presentation magic design. So if you're creating a [00:14:00] presentation for your business, basically you just describe what you're a presentation on, it will populate a template for you. It'll give you all these different options for how it will look. And then it will also come up with different slides and different ideas.
[00:14:17] And so I've tried this a couple times. I think it's good. I don't think it's great yet. So I personally don't I would necessarily use it because I already have of templates for the presentations that we do inside of our business. So I am not at the point yet where I would use this, but I do think it has a ton of potential for the future and I'm excited to see where they take this.
[00:14:41] Personally, I am most excited about the magic right, and the magic eraser, and I'm also excited about the potential of presentation and text image and kind of seeing where that goes.
[00:14:53] So I believe. I should have checked this before the episode, but I believe that you can [00:15:00] only use the AI features you have a paid version, cuz we already have the paid version. So we're, we already cannot use all of these. It's $16.99 a month to use the paid version of canva, but I also know they have have a free version.
[00:15:14] So maybe you can use AI still with free version. I'm not a hundred sure. that's something you might wanna check.
[00:15:21] Tool number three is descript. Okay, so descript is such cool tool, and it's specifically to film record and edit videos and podcasts. So if you have a YouTube channel or if you have a podcast, is actually a platform that we have used for a while now and we only really used it for train transcribing. Our episodes for our show notes, but recently they have actually added some really cool AI tools for editing and recording video and audio right in the platform.
[00:15:59] [00:16:00] So I'm actually doing that as we speak. This is the first episode that I am recording inside of Descript, and so I'm gonna testing it out and seeing if we want to switch over to doing basically everything in script. So I'm really excited to see how this all goes, but I think it's going to really cut down on our workflow because currently we're using several apps to record and edit the podcast. And so I'm hoping we can just do all in Descript.
[00:16:31] Now descript uses AI to one, remove background noise and improve the recording quality with one click. It's called Studio Sound. So that is really cool. I love that feature because sometimes you have background noise or the audio just doesn't sound right. And so being able to do that and there's actually different levels that you can choose. And so that has been really incredible.
[00:16:57] And then, also, when it comes to editing, [00:17:00] you can shorten gaps in your content, and then also if you have long pauses in your videos, your audios, can cut those down super easily and it's all, basically, it finds all of the gaps in your videos or your and it will do that all in once. So that's, Absolutely incredible. I think that's amazing and it's gonna save so much time.
[00:17:22] And then another thing is that it detects words like um, or ah, and you can actually delete those automatically and you can insert either a gap or you can delete them perfectly. And the cool thing about this is because you actually can Go ahead and either delete all of them at once or you can just delete specific words. And so if there's specific words you don't want to be included in the episodes, you can just go ahead and delete those words and then you can actually go through and go through it one more time and you can decide whether to [00:18:00] keep some of those likes and some of those ums in there if you choose to.
[00:18:04] Okay, this is really cool. I love this feature and seriously saves much time on the backend. And then there's another feature, which to be honest, I have not used yet simply because. If I'm being transparent with you, it freaks me out a bit, but you can actually correct your misspoken words using a synthesized version of your voice. Isn't that crazy?
[00:18:31] And so I haven't tried it yet. It just creeps me out. So I haven't used that yet. But that is something that you can do, is actually overdub your voice correct something that you've said. So I just think that's like so, so crazy.
[00:18:46] So Descript has a free version. And it also has a version that starts at $12 month. We personally have the paid version. I would highly recommend getting the paid version because it has way more functionality. I think the free version [00:19:00] only allows you maybe 60 minutes of transcription per month and doesn't have a lot of the tools that, that they have available. So if you are podcaster or content creator, do videos, Or you have to audio for whatever reason, I highly recommend using the paid version because it's definitely worth it.
[00:19:21] Okay. Tool number four. This is a really cool tool and I've recently discovered it. It's called Ellie. So Ellie is an email assistant that learns from you what your writing style is, and then it actually crafts replies inside of your email as if they were written by you.
[00:19:40] Okay, so this is like crazy, slightly creepy, but also really cool. If you spend a lot of time in inbox like I do, then this could be an incredible tool that could save you so much time and ultimately a way to make more profit in your business because I don't know about you, but I find that [00:20:00] sometimes I'm sucked into my inbox and it actually takes me away from the profit generating tasks in my business that I know I need be doing because I'm stuck in my inbox, replying to emails.
[00:20:13] So this is a really incredible tool and resource that you can actually use. It will give you basically a templated response to something. So let's say you email inquiry. You can respond either in the positive or the negative, and it will actually craft an email response and it will craft it in the way that you want it to sound.
[00:20:37] So whether it is like friendly or casual or professional, and it's, honestly it's, it's so cool. And the thing I like about it is that basically you a template and then of course can go ahead and edit whatever it says to sound more like you or to give it more details, or you can give it more details as well before it even generates a response.
[00:20:58] So I just [00:21:00] started testing out the paid version and I have really been loving it and I think it's gonna be well worth the investment, because I think it's gonna save me like hours of my week. So I've only used it, to be transparent, I've only used it for the past, I would say four five days. And I know there's other email softwares or email AI tools out there that could potentially a better fit. So I'm gonna use this one for now, just because I'm loving it and I'm like, super easy and I love how much it's saving me, but there's also other email softwares that I do want test out.
[00:21:39] And so I will keep you guys updated with that. So if I find something that is better, the only thing that I wish that ellie did is I wish that it also had templates for outbound emails. So right now it's just, it just gives you good response when you're getting inbound emails, but it doesn't necessarily have the outbound [00:22:00] email templated things for you.
[00:22:02] So I'm more looking towards that as something that maybe will be something that we'll, in the future. For right now, it's amazing. And so if you have lot inbound emails, highly recommend looking into Ellie. I think it's amazing.
[00:22:17] So those are the top four tools that we are currently using in our business to save us time and therefore money, which ultimately affects the bottom line of your business because the less time that myself and my team use on super tedious tasks means that we can put more time into things actually moving the needle, things that are actually bringing in profit in the business, and also supporting our clients and customers. So things like pitching collaborations, planning events, recording podcast episodes, connecting with clients and members of our community and providing am amazing support for our community as well.
[00:22:56] So I am just super excited [00:23:00] to implement more of these tools into our business as grow and scale. Try one of them and see if it actually helps you with your workflow and if it starts to save you some time.
